Aware System Overview

Aware is a Maddocks developed system that captures status updates for client reporting, based on defined periods. The Status Entry screen is the main screen used by Solicitors Acting, their Legal Secretaries and Support staff to provide status updates.



To Do (Main Status Entry screen)


Matters Displayed

  • The To Do screen displays the number of matters requiring status updates for the period. This is linked to the Solicitor Acting nominated in Expert.
  • The initial list of ‘To Do’ Matters display depending on your profile i.e.
    1. Solicitors Acting will see matters relating to your profile
    2. Secretaries and Administrative staff will see matters relating to Solicitors Acting you support. If you do not see your Solicitor Acting please contact the helpdesk.

Legal Secretaries and Administrative Staff:  

Matters can be filtered back by Solicitor Acting name. The To Do count will be limited to the Solicitors Acting selected in the Solicitor Acting field. 

 

Submitting your Status Entry

  • Enter your status entry for the period in the Matter Status Entry field.
  • Use the Copy from Previous button to copy the text from the previous reporting period (where relevant and available).
  • Select Submit to save the entry.

The status entry will not be saved if you exit the screen so please ensure you select ‘Submit’ before closing the browser. 

 

Search Function

  • Search results will appear as you type. You can search by key word on matter number, matter name or client name.

  • Click ‘Reset’ or delete the text entered to clear the search text

Legal Secretaries and Administrative Staff:  

The 'Search' function will only return search results based on the Solicitor Acting's names selected. 

 

Completed

  • Click the Completed button from the left hand menu to display submitted status entries within the current reporting period.
  • The current reporting period’s completed status entries can be edited and re-submitted until the period is locked for reporting.
  • Once the period is locked for reporting, these entries will not be available for further editing or resubmission.

  1. New or Updated Delegates


  • Delegates can be configured in Aware to see (and update) the status entry against matters assigned to a Solicitor Acting. 

  • To request new or amend an existing Legal Secretary à Solicitor Acting relationship, please submit a ticket with helpdesk. 

  • Solicitors Acting: If the request is made by you, the request will be processed without the approval step. 

  • Legal Secretaries: Any requests will be sent to the Solicitor Acting for approval prior to processing the request.

Please CC the Solicitor Acting in the request to IT so that approval can be tracked against the request. To ensure your request can be processedplease follow up with your Solicitor Acting.
