1. Open the Outlook Add‑in
Step 1 - Create a new meeting
- Open Outlook
- Go to Calendar
- Click New Meeting
Step 2 - Open the Nura Space Add‑in
- In the meeting window, select Nura Space Room Booking in the Outlook ribbon
- The add‑in will open on the right‑hand panel
2. Select a Room Using the Add‑in
Step 1 - Enter meeting details
The add‑in automatically reads from the Outlook meeting form:
- Title
- Attendees
- Start & end time
Step 2 - Search for a room
Use filters to narrow down rooms by:
- City / Building / Floor
- Capacity
- Amenities
- Catering availability
Step 3 - Choose your room
Available rooms appear as tiles showing:
- Room name
- Start time
- Floor & building
- Available services
Click Select to choose the room.
3. Adding Multiple Rooms - Linked rooms (joining of rooms for a larger space)
There are two types of multi‑room bookings:
a) Multiple individual rooms
(e.g., booking MEL 25.01 + SYD 10.06 for a cross‑office call)
b) Combination rooms
(e.g., MEL 25.12 + MEL 25.13 that operate as one space)
This guide covers b) - adding combination rooms via the add-in.
Current combination rooms are:
Mel 25.12 & 25.13
Can 1.03. 1.04 & 1.05 (should be also able to book as a combination of 1.03 & 1.04, 1.04 & 1.05)
Syd 10.01 & 10.02
- In the add‑in, after selecting your first room, click 'Link meeting room'
- Choose the next room
- Repeat as needed
The add‑in will include all selected rooms in the Outlook meeting, ensuring they are checked for availability at the selected time.
All selected rooms will:
- accept or decline individually
- display in the add‑in tile list
4. Add Facilities & Catering
After selecting the room(s), click Next in the add‑in to open the services selections.
You can add:
- Catering
- Food, beverages, event catering
- Facilities
- Room setup / layouts
- AV equipment
- IT requirements
How to add services
- After room selection, click Next
- Choose Facilities
- Choose Catering
- Add required items
- Click Save in the add‑in panel
The services will be attached to the meeting record in Nura Space.
5. Review & Send the Booking
Before sending:
- Confirm the Organiser is correct
(add‑in allows organiser changes if enabled) - Ensure all selected rooms are visible
- Ensure catering and facilities are added
Send the meeting:
- Click Send in Outlook
- Rooms will automatically accept or decline
- Any service requests will appear in the Concierge Bookings view
